It never hurts to send a formal letter if you're unsure as to what type of letter to send. However, a formal letter should always be sent when conducting business, corresponding with a future employer, or sending a letter to government officials. A form letter helps to convey a more serious tone of voice which will help you to communicate more effectively.
What Do You Include in a Formal Letter?
- A formal letter wouldn't be complete without a proper heading. Your letter should have a heading complete with your name, company name if it's for business, your address and the date in the top left-hand corner. Additionally, it's important to list the recipient contact information as well.
- Formal Greeting. After the heading, it's imperative to address your recipient formally. Always start off with €œDear € followed by the person's name. If you know who you're writing to use their last name adorned with honorifics. If you don't know who you're writing to, use their job title or €œsir or madam. €
- A Well Thought Out Content. The body of the paragraph should include a well thought out statement of purpose and should cut straight to the chase. Additionally, it shouldn't have any contractions. Before sending out the letter, proofread it for any grammatical errors.
- Formal Closing. When you end your letter, use a positive formal greeting. Try €œSincerely € or €œKind regards €. If typing the letter, leave extra space in between the closing and your name. You should sign your name in either blue or black ink.
